Privacy Policy
At IA avec Ugo, we take the protection of your personal information seriously. This policy explains what information we collect, why, who it is shared with, how long we keep it, and what your rights are, in accordance with Quebec's Act respecting the protection of personal information in the private sector, as modernized by Law 25.
- We do not sell or rent your information, and this site uses no tracking cookies and no audience-analytics tool.
- The diagnostic tool calculates its recommendation in your browser. Your answers only reach us if you click "Send my profile" yourself: see section 2.
- The chat assistant is not yet in service. The 💬 bubble shows a holding message: nothing you write there is sent to Cloudflare or to Anthropic. One exception: the "Have me contact you" button in the bubble already works — if you use it, your contact details and the last messages you wrote in the bubble are sent to us (see sections 2 and 5). Once the assistant is switched on, it will also send your messages outside Quebec — to Cloudflare and Anthropic, in the United States: sections 2 and 5 already describe this upcoming behaviour, so you can judge it in advance.
- The day it becomes active, never write sensitive information into it (health, financial situation, password, social insurance number). It will never ask you for any.
- No decision about you is ever made automatically. Our tools inform and guide; every decision — offer, price, mandate — is made by a person.
1. Personal Information Protection Officer
The role of person in charge of the protection of personal information is held by the person with the highest authority at IA avec Ugo. For any question or request about your personal information, write to the person in charge of the protection of personal information:
- Email: info@iaavecugo.ca
2. Information we collect
Through the contact form
When you send the form, the information you entered — your name, your email, your company name (optional), your team size, and your message — is sent to us by the site's server (see section 5), which keeps it only for the time needed to deliver it to our email inbox. It is used only to reply to you. If the transmission fails, the site offers you a pre-filled email as a fallback, which you may choose to send or not.
Through the chat assistant
Here is what will apply as soon as it is. The chat window (the 💬 bubble) is an automated assistant, built by Ugo de Montigny using Claude, an artificial-intelligence model from the company Anthropic. Here is exactly what happens to what you write in it:
- Your message is sent to a small program we wrote, which runs on Cloudflare's network (United States). This program keeps no copy of your conversation: it passes it along, then forgets it.
- This program then sends your message — along with the earlier messages of the same conversation, so the assistant keeps track — to Anthropic (United States), which produces the reply. The conversation transmitted is limited to the last 12 messages, each truncated to 2,000 characters.
- The content of your conversation is therefore communicated outside Quebec. What these two providers do with it, and for how long, is described in section 5.
Do not write sensitive information into the assistant — health status, financial situation, social insurance number, password, banking details, or information about your own clients or employees. The assistant is instructed never to ask you for any of this, but nothing stops it from receiving what a visitor chooses to write. For anything of that nature, please write to us instead at info@iaavecugo.ca.
The assistant does not close any sale, does not confirm any appointment, and makes no decision about you.
Through the "Have me contact you" button
If you click "Have me contact you" in the chat window, we collect your name, your email, your company name (optional), and an excerpt of the conversation you just had — the last exchanges, limited to 1,200 characters. The message is sent as soon as you click "Send."
This information is sent to our site's server, hosted in Quebec (OVHcloud, Beauharnois), which keeps it only for the time needed to relay it to our email inbox, also hosted in Quebec (Beauharnois) by Hébergement OVH inc., a Quebec company (see section 5). It is used only to get back to you. If the relay fails, the site offers you a pre-filled email as a fallback, which you may choose to send or not.
This is a second reason not to write anything sensitive in the chat: the conversation excerpt travels along with your contact details.
Through booking an appointment
The "Book a call" buttons take you to our Calendly page, an external appointment-scheduling service: the information you enter there (name, email, answers) is processed by Calendly under its own privacy policy, and is shared with us so we can hold the appointment.
Through the AI diagnostic tool
Your answers (industry, team size, pain points, level, goal) are processed in your browser to display a recommendation. At this stage, they do not reach us, and they pass through neither Cloudflare nor Anthropic.
They are sent to us only if you click "Send my profile" and enter your name and email there. In that case, we receive those two pieces of information, your team size, and the full profile shown on screen. The message is sent as soon as you click, by the same route as the contact form: our server in Quebec, which keeps it only for the time needed to relay it, then our email inbox, also hosted in Quebec by Hébergement OVH inc. (see section 5). If you do not click that button, nothing leaves your browser.
Technical information
This site uses no tracking cookies and no audience-analytics tool. Our host keeps technical logs (including your IP address — the numeric address that identifies your Internet connection) for security and server-operation purposes, as any web host does. Once the assistant is in service, your IP address will also be visible to Cloudflare, which will receive the request. Finally, the site's fonts are loaded from Google, which sends your IP address to Google; we plan to host these fonts locally to remove this third-party call.
3. Why we collect this information
We use your information only to:
- answer your question, on the spot in the assistant or by email;
- get back to you about our training sessions, workshops, or services, if you have asked us to;
- tailor our proposal to your situation (your industry, your team size, your pain points);
- prepare and hold an appointment you have booked;
- meet our accounting and tax obligations once you become a client.
We do not use your information for any other purpose without your consent. We do not use it to train an artificial-intelligence model. For the assistant, Anthropic contractually commits not to train its models on content we send it (Anthropic's commercial terms, section B: "Anthropic may not train models on Customer Content from Services," in effect since June 17, 2025). For our email, read with Claude, the setting that would let Anthropic use this content to train its models is turned off.
4. Consent
By writing in the assistant, sending the contact form, clicking "Send" on the "Have me contact you" card, clicking "Send my profile" at the bottom of the diagnostic, booking a call, or writing to us directly, you consent to our use of the information provided for the purposes described above, including its communication outside Quebec as described in section 5. You may withdraw your consent at any time by writing to us at info@iaavecugo.ca; the withdrawal applies going forward.
You are never required to use the assistant: email, phone, and the contact form remain available and do not pass through Cloudflare.
5. Disclosure to third parties, and communication outside Quebec
We do not sell or rent your personal information. We do not disclose it to third parties for commercial purposes.
Certain technical service providers process your information on our behalf, only to the extent necessary for their function. Here is the complete list, and where each one is located:
| Provider | Its role | What is shared with it | Where |
|---|---|---|---|
| Hébergement OVH inc. (OVHcloud), a Quebec company | The host of the site and of our email inbox info@iaavecugo.ca. It serves the pages and routes three submissions: the contact form, the "Have me contact you" card, and "Send my profile" from the diagnostic. The site's server only relays them; they are then kept in our email inbox (retention periods in section 6). | The pages visited, your IP address, the content of these three submissions, and the emails you write to info@iaavecugo.ca. | Quebec (Beauharnois data centre). According to OVH's written reply (September 2026), our email inbox and its backup copies are there as well. OVH's contract allows other companies in its group to intervene remotely for maintenance and security. |
| Cloudflare, Inc. | (Once the assistant is activated — see section 2.) Runs the assistant's program and sends your messages to Anthropic. | The content of your messages in the assistant, your IP address. | United States (runs on a worldwide network, possibly outside Quebec) |
| Anthropic, PBC (public benefit corporation, a US mission-driven company) (the US entity we contract with) | Provides Claude, the artificial-intelligence tool we use to read, sort and summarize our email and prepare our replies. (Once the assistant is activated — see section 2.) Also drafts the assistant's replies. | The content of the emails received at our Gmail address. (Daily sorting of info@iaavecugo.ca — not yet in service, see the box further down.) If this sorting starts, the content of messages received at info@iaavecugo.ca will also be sent to Claude every business day, to sort and summarize our inbox — so even when we are not preparing a reply to your message. For the assistant: the content of the current conversation (up to 12 messages) and the generated reply. | United States |
| The email service for our Gmail address, which is still used for the rest of our correspondence; also provides the site's fonts. | The emails you write to our Gmail address; your IP address for loading fonts. Submissions made on the site do not pass through it. | United States | |
| Calendly | Appointment booking, if you book a call. | What you enter in the booking form. | United States |
| Granola | Note-taking for some meetings with clients or prospective clients. | The transcript and notes of the meeting. | United States (primarily) |
What this means in practice. The site, the relay of your submissions, and our email inbox info@iaavecugo.ca are hosted in Quebec (Beauharnois) by Hébergement OVH inc., a Quebec company. This inbox is where we receive the contact form, the "Have me contact you" card, "Send my profile," and the emails you write to info@iaavecugo.ca. If you write to our Gmail address instead, your email is received at Google, in the United States, and we read and sort it with Claude, from Anthropic, in the United States.
Here is what will apply if this sorting starts. Mail sent to info@iaavecugo.ca will also leave Quebec, by a different route: the content of messages received at that address will be sent every business day to Claude, from Anthropic (United States), to sort and summarize our inbox — the inbox itself will remain hosted in Quebec; it is the reading that will happen outside.
And as soon as the chat assistant is in service, your messages will leave Quebec by another route: they pass through Cloudflare and Anthropic, two companies established in the United States. Booking a call passes through Calendly, also in the United States. We only give each provider what is necessary for its function, and we use this information for no other purpose.
How long these providers keep it. Each applies its own policies, which we do not control. For the assistant, here is what they provide for at the time this page was written:
- The program we wrote keeps nothing. It receives your message, forwards it, returns the reply. There is no database of conversations on our end.
- Anthropic states that it deletes messages sent to its API and the replies it generates within 30 days of their receipt or generation — for a reply produced by the model, the period runs from the moment it is produced. This same page also lists exceptions we flag rather than omit: longer retention under a special agreement or an extended-retention service, to comply with the law, or to enforce its usage policy — and, if an exchange is flagged by its automated systems as violating that policy, up to 2 years for the messages and up to 7 years for the associated classification scores. (Source: Anthropic, "How long do you store my organization's data?", page dated July 1, 2026, consulted August 23, 2026.)
- Cloudflare retains technical data (including your IP address and request logs) under its own privacy policy.
We may also disclose information if required by law or to assert our rights.
6. Retention of information
We keep your information for as long as necessary for its intended purpose, then destroy it or render it anonymous.
| Information | How long we keep it |
|---|---|
| Your conversation thread with the assistant | In your browser only, until you close the page. We keep no copy of it, except for the excerpt that is sent if you use "Have me contact you" (next row). See section 5 for how long Anthropic and Cloudflare keep it. |
| The message sent through the contact form, the "Have me contact you" card, or "Send my profile," as well as any email you write to us | 24 months after our last exchange if no mandate follows, then destruction. |
| A client's file (contract, invoices, correspondence) | 7 years after the end of the mandate, for our tax and accounting obligations. |
| Diagnostic answers, if you do not send your profile | No retention: they never leave your browser. |
| The host's technical logs | According to the host's own policies, for security and operational purposes. |
7. Your rights
Under Law 25, you have the right to:
- access the personal information we hold about you and obtain a copy of it;
- have it corrected if it is inaccurate, incomplete, or ambiguous;
- withdraw your consent to its use;
- obtain, where the law applies, the computerized personal information you have provided us, in a structured, commonly used technological format (right to data portability).
How to proceed: write to info@iaavecugo.ca with the subject "Request — personal information." We may need to verify your identity before responding. We respond within the timeframes set out by law. If we refuse, in whole or in part, we will give you our reasons and inform you of your recourse to the Commission d'accès à l'information.
A useful note about the assistant: because we keep no copy of your conversation, we cannot give you access to it or correct it. What we do hold — and over which your rights fully apply — is the information you voluntarily sent us: the contact form, the "Have me contact you" card, the profile sent from the diagnostic, an email you wrote us, a call booking.
8. Security
We take reasonable measures to protect the information you entrust to us against loss, theft, and unauthorized access, given its sensitivity: limited access, encrypted exchanges between your browser and the site (the small padlock in the address bar), access keys to our tools never written into the pages' code, and a deliberate reduction of what we retain — the assistant only forwards a bounded history, and our program keeps none of it.
9. Privacy incident
A privacy incident is unauthorized access to, use of, or disclosure of your information, its loss, or any other breach of its protection. Should such an incident occur, we take reasonable measures without delay to limit its consequences, record it in our register, and, if it presents a risk of serious harm, we diligently notify the Commission d'accès à l'information as well as the individuals concerned.
10. Complaint to the Commission d'accès à l'information
If you believe we have not respected your rights, you may file a complaint with the Commission d'accès à l'information du Québec, the public body that enforces this law: cai.gouv.qc.ca.
11. Changes to this policy
We may update this policy to reflect a change in our practices or in the law. The date of the last update appears at the top of the page. In the event of a significant change — for example, the addition of a new provider or a new tool — we will clearly flag it.
